Master Board Projects/Post Hurricane Ian

 

Monday, November 28th

1. Santa Maria I - No changes or updates......building remains without power and water.

2. Santa Maria Master - Updates from the previous week

a) Front Entryway - The entrance to the property has been cleaned up with sand removed, and the island around the sign has had debris removed and raked

b) Main Driveway - The main driveway has been cleaned up all the way back to the SM II parking lots

c) Pool - The cleanup of the pool has continued with various volunteers helping to remove sand, mud, leaves, etc. from the bottom by shoveling and raking with extended tools and vacuuming using an improvised suction system. It is hoped that our contracted pool maintenance company will begin repairs by Dec 1st

d) Jacuzzi - The cleanup of the jacuzzi has also continued, and expects to also be ready for repairs by Dec 1st

e) Pool Lights - The pool light posts were damaged beyond repair, and have been removed for disposal, and will need to be replaced

3. Santa Maria II - Updates from the previous week

a) Lobby - Anytime Lock and MacGregor Window & Door have been retained to replace all 3 lobby doors, and temporary repairs will be made to the existing doors to make them useful until the new doors arrive. This work is hoped to be done during early December

b) Stairwell Doors & Locks - Anytime Lock will replace the north stairwell door, and new keypad locks will be placed on all 3 stairwell doors

c) Parking Lots - Parking lots have been swept and power blowers used to remove the majority of sand in the parking areas.

d) Elevators - Our maintenance supervisor has been working to get the elevators ready for the new parts and repairs that General Elevator will provide. It is hoped that at least 1 elevator is up and running sometime in early to mid-December

e) Fire Dept guidelines for temporary occupancy - Since both buildings remain without fire suppression due to the damage to the fire pump room, the FMB Fire Dept has requested that Santa Maria II implement guidelines for allowing occupancy in our building to continue. The guidelines will require

1) A Sign In and Sign Out system in order to track the number of "souls" in the building in case of an emergency and

2) A "Fire Watch" system consisting of volunteers checking the building during the day and hiring a private company to monitor the building from 7pm to 7am. The cooperation of the SM II owners is appreciated until our sprinkler system is back up and operating. (see attached information) This will begin on Monday, November 28th with the required information placed on a table near the center stairwell.

Friday, November 11th

  1. Nov 7th, 2002 - Santa Maria Master Board Meeting minutes
  2. Santa Maria II Owner Storage Room Cleanup - We are coming to the end of the period for owners to get their ground floor storage room cleaned out. Starting Monday, Nov 14th, AAA Maintenance will be beginning the final phase of cleaning and disinfecting the remaining storage rooms. While this process continues, they will also be doing the cleaning of the entire building ground floor, removing remaining sand, mud, etc. and power washing all areas.
  3. Santa Maria II Lobby and Stairwell Doors - Anytime Lock Company has made temporary repairs to the lobby doors, and the board is expecting to have to replace all 3 lobby doors. In addition, the north and center stairwell doors will have new keypad locks installed, and the south stairwell door will be replaced due to heavy damage, and a new keypad lock will also be installed.
  4. Santa Maria Pool and Spa - The cleanup of the pool and spa continues, and because of the damaged pool fence and the repairs, a temporary fence is expected to be installed around the entire area and the entire area will be off-limits until further notice.
  5. Santa Maria Building #1 - Electricity and other utilities remain off-line while repairs continue to bring the building back on-line. 
  6. Santa Maria Docks and Boat Slips - The Santa Maria Dock Association has given boat slip owners 30-days' notice to complete the removal of damaged boats and boat slips, after which the association will bring in outside companies to assist with the cleanup
  7. Xfinity / Comcast Cable TV - The latest update from Xfinity/Comcast indicates that they expect to have cable tv service restored to our part of the island by November 25th.
  8. Santa Maria II Elevator - We continue to work with our elevator maintenance company to restore operation of at least 1 elevator, with parts and labor availability a major challenge
  9. Santa Maria II Mailboxes - Anytime Lock is expected to drill out and replace all the mailbox key locks, and the mailboxes will be placed back in place. Again, USPS is not expecting to resume service for several months.

 

 

Monday, November 7th

  1. INTERNET CONNECTIVITY - This past Saturday afternoon, a CenturyLink repair crew was able to reconnect Santa Maria II for high-speed internet service. So wireless technology such as cameras, thermostats, can be reactivated and should be functioning
  2. POOL AND SPA CLEANUP - Several board members and owners were working very hard this past week to drain the pool and clean up the sand and muck that accumulated. This process will continue and might require a professional reconditioning of the pool bottom and sides.   
  3. TRASH AND RECYCLING PICKUP SERVICE - Both our trash and recycling is now being picked up on a regular basis, so that essential service appears to be back on a regular cycle
  4. MAILBOXES AT SANTA MARIA II - While there is no mail service on the island, we are evaluating the condition of the mailboxes in the SM II building, and it is expected that the locks at least will need to be replaced due to corrosion caused by the saltwater
  5. LOBBY DOORS - Lobbies and doors in both buildings were damaged, and while temporary repairs were made to building #1, the doors in building #2 are more severely damaged and likely may need replacing. The keypad locks on the stairwells will also be replaced due to corrosion from the saltwater.
  6. POOL FENCING - The new fencing around the pool was unfortunately damaged on the south end, and Tropical Fencing will be out later this week to assess the damage and see about sourcing replacement sections of the fence.
  7. STORAGE ROOM CLEANING - The storage rooms in building #1 have been cleared of owner's items and cleaned. The owners of the storage rooms in building #2 have 7 more days to clean out their belongings before AAA Maintenance comes in to clear the remaining items and thoroughly clean and disinfect those units.
  8. CLEANUP OF BUILDING #2 GROUND FLOOR AREAS - Now that most of the debris removal in building #2 is completed, AAA Maintenance will begin the process of cleaning the ground floor areas in and around the atrium, parking spaces, and pass-throughs of sand, mud, and then power washing the entire area. This will be done in unison with the storage unit cleanup process.

 

 

Tuesday, November 1st, 2022

  1. Electricity - We now have power back on at the Santa Maria II building. There will be additional delays in getting power back on at Santa Maria I due to more extensive damages
  2. Water - We also now have the water back on at the Santa Maria II building. Likewise, there will be additional delays getting water back on at Santa Maria I, and the damages in the fire system room will delay supplying water to the sprinkler system for SM II
  3. Sewer - We are not aware of any issues at this time involving the sewer system at our buildings, but there have been recent issues on the north end of the island
  4. Roof A/C Condensers - There has been some more definitive identification of the roof A/C condensers that need replacement or repairs. While we have been working with Cape Cooling, owners have the option of hiring their own contractor to make repairs to their individual units
  5. Elevators - There has been an initial assessment of the elevators by our service contractor, and it appears that the doors may have been bent or warped by the storm, and additional parts have to be ordered to facilitate the necessary repairs. So, even with electricity back on, operational elevators are down the road with an unsure timeline.
  6. Cable TV & Internet - Now that Santa Maria II has power, Infinity and CenturyLink can begin the process to reconnecting the building. However, a damage repair timeline is uncertain at this time due to repairs needed at the road. Xfinity had indicated a possible startup date sometime after Nov 15th at the earliest
  7. Storage Rooms - Some owners have already been on-site to start the cleanup process. Our property manager has just communicated with owners regarding a timeline for individuals to complete their work before the board initiates a comprehensive cleanout and cleanup of the remaining storage rooms
  8. Property Remediation - Work continues to remove the remaining large and small debris from the Santa Maria property and move it to the street for FEMA to come and remove. The cleanup of the dock area, boat lifts, and boats is moving slowly, with equipment availability to handle this task remaining limited for now

 

 

Friday, October 28th, 2022

  1. SOCOTEC STRUCTURAL ENGINEERS - The structural engineer's report on Santa Maria has now been submitted to the City of FMB.
  2. YOUNG ELECTRIC - The electrical contractor's report on Santa Maria has now been submitted to the City of FMB
  3. FPL RESTORATION OF POWER - Now that the two required reports have been submitted to the City of FMB, power restoration by FPL is getting close
  4. TITAN WORKS - This contractor has been hired by the association to bring in heavy equipment to remove the larger debris from the property (such as dismantling the grilling decks that are beyond repair) and moving all this larger debris to the Estero Blvd roadside for pickup by FEMA
  5. STORAGE ROOM DOORS - Work continues to open up the owner storage room doors in both buildings 1 & 2, which is requiring cutting off of the hinges and locks which are corroded. The airing out of these rooms will allow owners to inspect their belongings and attempt to save some items if they so choose. Otherwise as previously announced, AAA Maintenance will be cleaning out contents and power washing and disinfecting the units starting in November
  6. ROOF TOP A/C CONDENSERS - In advance of power restoration, the rooftop A/C condensers have been disconnected from power to prevent any issues when power is restored. Cape Cooling will continue to inspect these condensers and either recommend replacement or plan repairs
  7. SANTA MARIA BOAT DOCKS - Both insurance companies and private individuals are starting to bring in cranes, barges, and other equipment to start the process of removing boats and boat lift debris. Boat owners should have begun or planning the removal of their boats and/ lift debris as soon as possible.
  8. OPENING UP OF CONDO WINDOWS - Our Santa Maria maintenance supervisor has now started to open windows in the owner's units in order to start air flow in advance of powering up of air conditioners

 

 

Wednesday, October 26th, 2022

We will be opening each of the Storage Units to allow them to begin to air out.

We will be leaving them open for 7days, at which time we are asking each owner to arrange to have your storage units cleared out and disinfected so we may continue with the clearing and cleaning of the property.

Arrangements will have to be made by Wednesday, Nov. 2nd. If you choose to clear your storage unit out within this time frame, you are not allowed to take anything into the buildings. This is to ensure mold does not spread. You will have until Wednesday, Nov. 2nd to discarding your items and pressure wash and disinfect your storage unit.

If you have not made arrangements to have it cleared out by Wednesday, Nov. 2nd the association will be hiring a company to clear it out by throwing all items in the storage units, away. Nothing will be saved. After clearing it out it will be thoroughly disinfected.

The association has made extreme progress and we would like to continue to expedite this process to ensure the association is able to take advantage of the resources that are currently available, during this trying time.

If the association hires a company to clear your storage units, the amount that is outlined on the attached invoice will be applied to your association account.

 

 
Monday, October 24th, 2022

  1. Electricity Update - Young Electric completed the necessary repairs to the Santa Maria II building late last week. They were expected to submit the necessary information to the city of FMB late last week to get approval for powering up that building. Work will continue on building #1
  2. Water Update - Reflow Plumbing has only 1 repair to make to the Santa Maria II building to complete their work. They are also expected to then submit the necessary information to the city of FMB to get approval for turning on the water to that building. Work will continue on building #1
  3. Fire Control Update - Summit Fire Service has been retained to make the necessary repairs to the fire/sprinkler system, including the pump and control panel which were flooded in building #1. This system controls both buildings, and the timeline for repair is pending at this time.
  4. AAA Maintenance Co. - The company who started the initial clean-up at Santa Maria is completing their work and has done a great job removing debris throughout the property. 
  5. Lee Landscaping Service - Our regular lawn maintenance company continues to remove the greenery debris and evaluate what will be needed to replace the damaged trees, scrubs, etc.
  6. A to Z Maintenance Services - It looks like the board will be hiring this company for heavy debris removal and clean-up once we receive the necessary insurance and city of FMB work documents. They will be bringing in a 5-man crew, along with skid loaders and a dump truck to start moving the big debris (such as grilling decks) to the road for pickup. They will also work to get the thick layer of sand out of the parking lots, and debris around the dock areas.
  7. Florida Painters, Inc. - In order to retain our 10-year warranty on the recent painting work done, Florida Painters will be brought back in to do the necessary power cleaning and disinfecting of the buildings once all the debris is removed
  8. Cape Cooling - The work will continue to make the necessary repairs to those A/C condensers to have them all ready for the restoration of power
  9. Owner Storage Rooms - AAA Maintenance may be retained to clean and disinfect all the owner storage rooms once all the doors are opened. Additional communication with owners regarding this matter will be coming
  10. Insurance Claims - Board Members met with the 3rd insurance company adjuster who handles wind and storm damage for the property.

 

 

Wednesday, October 18th, 2022

  1. Inspection of Buildings - A structural engineer from Forge Engineering will be on-site today to conduct a structural inspection of all the Santa Maria buildings, so that we can get approval for occupancy
  2. Insurance Claim - Our insurance company (Private Client) representative, Wes Brewer, will be on-site with a private adjuster, Heather Tricola from Colonial Claims, to conduct a comprehensive assessment of the damage to the Santa Maria buildings and property
  3. Cape Cooling - The H/C company we retained will be on-site again today to continue the process of repositioning the roof A/C condensers that were tipped over, and working to make the condensers operational when the power comes back on
  4. Diamond Access Technology - The company that recently installed the new pool gate security system as well as building #2 lobby access will schedule inspection and repairs as soon as power is restored
  5. Lee Lawn Care & Maintenance - Our regular contracted lawn maintenance company will be on-site to continue clean up and removal of damaged and/or ruined greenery, and also to inventory what is going to need to be replaced
  6. Vehicle Removal - The majority of vehicles that were on-site during the hurricane and totaled by the surge have been removed by wreckers sent by their insurance companies
  7. Large Debris Removal - Marquita, our property manage, is bringing in 2 companies to look at providing front loader type machinery to move the large debris to the Estero Blvd. roadside so it can be picked up and removed
  8. Big San Carlos Bridge - The bridge at the south end of the island reopens today to residents, so access to FMB from Bonita Springs is now available

Monday, October 17th, 2022

  1. SANTA MARIA BOAT OWNERS: There is a contractor on site that can assist you in lifting your boat and depositing it in a place of your choice. They are setting up two storage sites off the island to place boats temporarily until insurance adjusters or repair and salvage contractors can take possession. The company is Southwest Florida Excavation. The person to contact is Kyle. His mobile number is 508-536-8538. He already has a crane on the island. A 60-ton crane is enroute, and he will be bringing a barge crane. He was at our docks yesterday and is basically familiar with the layout and challenges of addressing your needs. If you believe you are going to require such services CALL KYLE IMMEDIATELY

  2. Condo Association of Ft. Myers Beach (CAFMB)  Update

  3. Structural Engineer for Santa Maria Condos Inspection - The board is in the process of finalizing an agreement to have a structural engineer inspect the condos later this week.

Friday, October 14th, 2022

  1. I can confirm that Young Electric visited the Santa Maria property yesterday and conducted an inspection of the buildings. They have noted the necessary repairs that will needed in order to bring our property back on-line. Accordingly, they will be placing an order for the necessary parts and supplies in order to begin the repair process. But please be aware that they are telling us it could be at least a week before they have what they need and can then send a repair crew to start the repairs. They cannot commit to a timeline at this point to complete the job. 

    Therefore, based on this somewhat limited information, the board is surmising that it is unlikely that power will be restored to the Santa Maria property much before the end of October. This prospect, combined with the requirement by the city of FMB for inspection of the buildings by an engineer before occupancy is granted, would move us to recommend to owners to avoid coming to the property in the immediate future. We will keep you updated as things progress and improve.

  2. Xfinity / Comcast Update - Xfinity Comcast has announced that they do not expect service to be restored to FMB until November 15th at the earliest

  3. Temporary access plan to Fort Myers Beach implemented to speed recovery Fort Myers, FL, Oct. 14, 2022 

    Beginning Monday, Oct. 17, access to Fort Myers Beach will be limited to essential response personnel each Monday and Tuesday to speed restoration of essential services and infrastructure. The goal is to complete specific infrastructure rebuilding missions on a tight deadline. 

    Residents and their hired contractors can access the island from 9 a.m. to 5 p.m. Wednesday through Sunday. 

    Essential response personnel include: Debris management (crews from CrowderGulf and Thompson Debris); electric providers, water and sewer utility providers; and transportation crews from Florida DOT and Lee DOT. The plan is an essential step in bringing back the residential, commercial, and tourism hub of Fort Myers Beach. It is designed to make substantial  progress on a condensed timeline. 

    This schedule will continue until further notice.

 

Thursday, Oct 13th, 2022

  1. Young Electric - scheduled to arrive on-site today to start the inspection process (and repairs if necessary) in order to prepare the property to receive power.
  2. AAA Maintenance - Continue the initial phase of the clean-up and debris removal process
  3. FMB Water Dept - It was announced yesterday that water is now flowing into the south end of the island from Bonita Springs, and they are filling the tank on Lenell Rd. There will be testing going on in advance of getting ready to release water into the individual properties. Jeff Jones, our maintenance supervisor, will be making some minor repairs but expects to have our system ready to receive water from the city.
  4. Stokes Marine - For those boat owners who have a lift, life cover and frame that has been damaged or destroyed by the storm, you will need to submit an individual request for service (specifying the service needed). Go to www.stokesmarine.com to submit your request
  5. Anytime Lock Company - We have been in touch with this company that services our stairwell locking system, and he will be replacing the locks on all the locks in both buildings. In the meanwhile, padlocks are being temporarily installed to maintain as much security as possible.

 

Tuesday, Oct 11th, 2022

  1. The FEMA Debris Removal Program has assigned Santa Maria a customer number, and when a removal team is available, they will send them 
  2. Scott and JoAnn Luginbuhl (#204) and Miquel Linares (#409) were on-site yesterday and assisting in the recovery process
  3. New vehicle photos have been added - Please review these photos in case you need a photo of your vehicle for insurance claim
  4. Rooftop A/C Condenser Units - New photos of the roof show damage to some of the A/C Condenser units. Please check the photos for the tag numbers to see if your unit was affected and to use for insurance claims
  5. Additional Boat/Dock Photos - New additional photos have been added for the West and East Dock areas.


 

Monday Oct 10th, 2022

  1. Johnny Faenza and his wife Susan, and Jeff Jones continue to reside at Santa Maria II. FEMA representatives are making periodic visits, offering supplies to help them
  2. Gert Walter and Jeff Jones continue to shuttle supplies back and forth from the north end of the island using a borrowed pontoon boat
  3. FPL repair crews are being seen around the south end of the island working to bring power back on. 
  4. Owners gained access to the south end of the island yesterday to survey their property, take photos, and collect personal belongings. Insurance Adjusters were also allowed on the island
  5. The Santa Maria Master Board continues to arrange for our vendors, including landscaping maintenance, reclamation, pool service, electric service, etc. to come onto the island as soon as possible to start the recovery process

  5. The south bridge to Fort Myers Beach is closed. Anyone going to property on Fort Myers Beach must use the north bridge, arriving from Summerlin Road or McGregor Blvd to San Carlos Blvd. Do not attempt to use Pine Ridge Road. It is restricted to emergency vehicles only, closed to other traffic. There is a checkpoint at San Carlos and Pine Ridge. Any non-emergency vehicle arriving at that intersection from Pine Ridge Road will be routed north on San Carlos. You will not be allowed to turn left onto San Carlos Blvd from Pine Ridge Road.

  1. The Santa Maria Master Association has already initiated an insurance claim for the overall property, and our agent-adjuster will be on-site as soon as it is allowed to assess the damage and start the claim process
  2. The Santa Maria Master Association strongly recommends you immediately contact your insurance company agent ASAP to discuss initiate a claim for damaged related to any on-site automobile, boat, boat lift, boat cover, personal property in your storage unit, etc.
